Once your account is created, you will be able to manage your drivers’ bookings instantly from the OTRA Fleet Manager ™ platform. All you need to do is register the drivers and truck plates that can park in OTRA safe and secure parking spots. The drivers added in the platform will receive an invitation to download the OTRA Park™ mobile application and create their account. As soon as that is done, they can view the bookings that you have booked for them through the OTRA Fleet Manager platform, or they will be able to make their own bookings directly themselves. You will be able to review their booking requests and stays in your Fleet Manager ™ platform in real-time.

Very easily. The parkings that offer guaranteed spots for your fleet to book are marked with a ‘P’ sign on the map, with a price. Thanks to our intelligent parking system, available spots allocated to OTRA for parking are visible in real-time in OTRA Park™ and all bookings made by drivers are visible in real-time in OTRA Fleet Manager™.

The onboarding includes the activation of the account and your Dashboard. This ensures that your company can get everything they need from it. Our service manager will help and guide the fleet managers in the initial activation and training on the same day.
Fleet Manager™, a web platform for fleet managers is easy to use and does not require any specific system.
We have all type of parkings, with different features based on your needs.
All their security levels are categorized as Bronze, Silver, or Gold in the system.
In addition to the security level, you will see a list of categories of services showing the minimum level of services for each of these categories, on a scale from 1 to 5 and the list of parking facilities. The map only shows parking facilities for which the level of categories of services are the same as those you chose.
Go to the parking facility search page and enter the name of a location, using either the Parking address, nearby city name (using driver language) or the postal code of the nearby city. Then a list of matching locations is shown so that you can confirm the location by tapping on it. By zooming in and out, the coverage radius changes accordingly to the zoom level and fewer or more parking facilities are shown on the map.
All parkings’ security levels are rated as Bronze, Silver, or Gold in the system.
In addition to the security level, you will see a list of service categories showing the minimum level for each of these categories, on a scale from 1 to 5 and the list of parking facilities. The map only shows parking facilities for which the level of service categories are the same as those you chose.
Click on the parking you want to check. A screen will appear presenting the name of the parking facility, its full address and phone number, its position on a dynamic map, the total number of parking slots, total number of parking slots per type of freight, the security level (Bronze, Silver, or Gold), a short textual presentation, a picture gallery, the level of service on a scale of 1 to 5 in all predefined categories of services, a list of services available on-site for each category of services and minimum price for each duration of stay.
Just confirm that you forgot your password. The system then displays a message confirming that an e-mail was sent to your address with a link to create a new password for your account. We will provide you a contact address in your Onboarding that you can contact in case you need support.
As a fleet planner, you can check the list of all trucks encoded in OTRA Fleet Manager™. Click on ‘Modify the truck’ and you can then edit the current truck information. When you click the confirmation button you see the updated list of the trucks.
You can check the list of the trucks encoded in OTRA Fleet Manager™. You will find a button to remove a truck from the list. Just confirm that you want to do so and the updated list of trucks does not show the truck anymore. The truck is archived to preserve the booking history. But you can’t use the removed truck in the platform anymore.
You see the list of all drivers associated with your fleet account, ordered by nickname or last name when known, showing:
- the nickname of the driver, or their first name and last name when known;
- the date and time of their last booking.
When you confirm that you want to add a new driver to your list of drivers, you will see a form to complete, a confirmation button and a cancellation button. Once you provide the e-mail address of the driver or their nickname, you confirm adding the driver. Then if the nickname or the e-mail address is linked to an existing OTRA driver, the driver is added to your list of drivers. Otherwise, an invitation to create an OTRA account is sent to the -email address of the driver mentioning that he should create an OTRA account using his or her e-mail address during the sign-up process. The e-mail address of the driver is then added as a “pending activation” status in the list of drivers.
When you click on the button to book a parking place, a form appears for you to confirm the driver and truck for which you want to book a parking slot.
You just need to confirm the driver and truck to see a list of duration for the stay with their nominal prices. Then you see a list of available spots, hour by hour for the next 3 days that match the type of freight. Confirm the date of the booking,
Then you see a screen showing:
- the name of the parking;
- the full address of the parking;
- The security level of the parking;
- the type of freight you are booking for;
- The date of the booking (“now”);
- the duration of the booking;
- the price of the booking;
- the price for any extension of time inside the facility;
- the expected arrival date and time;
- the expected date and time of departure;
- the nickname or first name and last name, if known, of the driver;
- the license plates of the truck that you selected;
- a confirmation button.
When you confirm the booking, the slot is reserved at the parking for the selected duration, at the chosen date and time, for the displayed price and the type of freight used as a filter. The price of the booking will be applied to the bill of your fleet company for the month of the booking and the booking appears in the booking list of the selected driver as if they made the booking themself.
You can book a specific type of ticket to match the required duration of stay and the type of slot as explained above. The driver then receives a notification of booking if they enabled it in their preferences. When they acknowledge the booking, they see the booking in their app as if they did the booking themself.
If the driver does not acknowledge the booking within 24 hours, they receive an invitation to install the OTRA Park™ application.
Check the list of all pending bookings for which your company has to pay. Confirm that your company will pay for a booking. The status of that booking is then changed to “Payment accepted” and it disappears from the “pending” bookings. The payment amount is then added to the monthly subscription of your company and the driver sees the booking as “paid” in their booking list and can leave the parking facility at any moment.
If you decline the booking request, the status of the booking is changed to “Payment declined” and it disappears from the “pending” bookings. The payment amount is added to the monthly subscription of the driver, who sees the booking as “due” in their booking list and the driver receives a notification in the app and by e-mail stating that the payment was rejected by the fleet company.
If the payment is not approved or declined by the transport company by the start of the check-in time at the parking, the booking is considered as ‘approved’ by the fleet company. If the payment is not approved or declined by the transport company and the driver is a no-show (meaning he or she never shows up in their booking window), the booking is again considered as ‘approved’ by the fleet company.
Go to your dashboard and consult the list of all the bookings your company made, showing the driver nickname or first name and last name if known, the license plate the driver used for the booking, the type of freight of the booking, the nominal duration of the booking, the nominal price of the booking, the extended duration, the date and time of arrival at the parking facility, the parking name, the main city and country of the parking and the payment status
If you provide a license plate number, you can see the booking details of that specific licence plate.
Check the log of all booking validations made by a fleet member to see the list of all bookings that this team member approved. They show the driver’s first and last name, the license plate the driver used for the booking, the type of freight, the duration, its nominal price, the extended duration, the date and time of arrival at the parking facility, the parking name, the main city and country of the parking and the payment status.
The OTRA Flex™ solution enables you and your fleet manager to manage the unpredictability on the road. For an additional fixed monthly fee, OTRA Flex™ lets you cancel a booking for free or for a small fee (depending on how early the cancellation is made before the check-in time), provided that you notify the cancellation.
How does it work?
In general, you will be reimbursed 25% if you cancel more than 2 hours before your arrival. There is no reimbursement if you cancel your booking less than 2 hours before arrival or if you do not show up.
With an OTRA Flex™ subscription, you will be reimbursed 100% if you cancel more than 2 hours before your arrival. If you cancel your booking less than 2 hours before arrival you will be reimbursed 50%.
